Terms of Service
These Terms are an agreement between Rook LLC ("Rook," "we," "us") and the business that signs up for Rook ("you" or the "Client"). By creating an account or using Rook, you agree to these Terms.

1. The service
Rook is software for home-service businesses. It answers and follows up with your customers by text message, website chat and related channels; gives approximate prices only from price ranges you approve; books appointments within rules you set; hands urgent matters, complaints and refund requests to you; and shows your activity in a dashboard. Features may change as the service improves.
2. Accounts and access
You must provide accurate business information and keep your login secure. You are responsible for everyone you give access to and for activity under your account. Tell us promptly at support@rooksync.com if you believe your account has been accessed without permission.
3. Plans, billing, pausing and cancelling
- Month to month. Plans renew monthly until cancelled. There is no long-term contract.
- Setup fee. A one-time setup fee, if any, is shown before you sign up and is not refundable once setup has begun.
- Cancel any time by email to support@rooksync.com or from your dashboard. Cancellation takes effect at the end of the current billing period. We do not issue partial-month refunds.
- Seasonal pause. Where your plan allows it, you may pause billing and messaging; your settings and history are kept while paused.
- Usage charges. Some plans include limits on messages or phone numbers; any overage pricing is shown in your plan.
- Price changes. We will give at least 30 days' notice before changing your plan's price.
- Late payment. If a payment fails and is not resolved within 14 days, we may pause the service.
4. Your responsibilities
- Permission to message. You are responsible for having the permission required by law to contact your customers, including consent for text messages where required. Rook is designed to message only people who contacted you first or gave consent, but you must not load contacts or request messages that you do not have permission to send.
- Accurate information. You are responsible for the accuracy of the business information, prices, policies, service areas and hours you give Rook. Rook uses them as you provide them.
- Your business decisions. Quotes, appointments, work performed and customer relationships remain your responsibility.
- Lawful use. You will use Rook in compliance with applicable laws, including telemarketing, consumer protection and privacy laws, and carrier messaging rules.
5. Messaging and AI
- AI-written messages. Rook uses artificial intelligence to understand customer messages and write replies. AI can make mistakes. Rook limits what the AI may do (for example, prices come only from your approved list, and complaints, refunds and emergencies go to you), and you control which kinds of messages are sent automatically, drafted for your approval, or left to you.
- Disclosure. Rook identifies itself as your business's automated assistant when asked, and you agree not to present it as a human.
- Not an emergency service. Rook is not monitored by people around the clock and is not a substitute for emergency services. Customers facing danger should call 911.
- Delivery. Text messages and calls depend on carriers and providers outside our control and may be delayed or not delivered.
6. Integrations
You may connect Rook to other services, such as Google Calendar, Microsoft Outlook, or your scheduling or CRM software. You authorize Rook to access those services only as needed to provide the features you turn on, and you can disconnect them at any time. Those services are governed by their own terms, and we are not responsible for their availability or changes.
7. Your data
- You own your data. Your business information, customer records, messages and settings ("Client Data") belong to you.
- Our permission to use it. You give us permission to store and process Client Data only to provide, secure, support and improve the service for you, as described in our Privacy Policy.
- Imports. When you import customer or job records, Rook stores what those records contain and does not invent history that is not in them.
- Export and deletion. You can request an export of your Client Data at any time. After cancellation, we delete Client Data within 90 days, except where we must keep it longer by law; backups are overwritten on their normal cycle.
8. Acceptable use
You will not use Rook to send spam or unsolicited marketing, harass anyone, send unlawful or deceptive content, message people who have opted out, collect sensitive information such as full payment card numbers or passwords by text, interfere with the service, or attempt to access other clients' data.
9. Confidentiality
Each party will protect the other's non-public information with reasonable care and use it only to perform under these Terms.
10. Disclaimers
Rook is provided "as is" and "as available." To the extent the law allows, we disclaim all implied warranties, including merchantability, fitness for a particular purpose and non-infringement. We do not guarantee any number of leads, bookings or revenue, or that the service will be uninterrupted or error-free.
11. Limitation of liability
To the extent the law allows, neither party is liable for indirect, incidental, special, consequential or punitive damages, or lost profits. Our total liability for any claim relating to the service is limited to the fees you paid us in the 3 months before the claim arose.
12. Indemnification
You will defend and indemnify us against third-party claims arising from your Client Data, the messages you direct Rook to send, or your violation of these Terms or the law, including messaging and consent laws.
13. Suspension and termination
We may suspend or end service if you materially breach these Terms, misuse messaging, or fail to pay, and we will give notice where practical. You may cancel as described in Section 3. Sections 7 and 9 through 15 survive termination.
14. Changes to these Terms
We may update these Terms. We will give at least 30 days' notice of material changes by email or in the dashboard. Continuing to use Rook after changes take effect means you accept them.
15. Governing law and disputes
These Terms are governed by the laws of the State of Utah. Disputes will be resolved in the state or federal courts located in Utah County, Utah, unless the parties agree otherwise in writing.
